How to pick a contest winner

A defensible winner process starts before launch, continues through the draw, and ends after the prospective winner is verified.

Start with the winner method in your rules

The fairest winner process is designed before entry opens. Your official rules should say whether the promotion is a random draw, judged contest, instant-win format, or a combination. Define the eligible pool, draw timing, judging criteria if applicable, response deadline, verification requirements, alternate process, and any skill-testing requirement.

Keep the published method consistent through the campaign. If a genuine operational issue requires a change, obtain appropriate advice, document why it was necessary, and communicate transparently.

Close entries at the published time

Record the exact closing time and timezone. Stop accepting new entries as the rules describe and preserve the raw entrant data before making exclusions. That snapshot provides a reference if a decision is questioned later.

If a platform or connectivity incident affected entry, follow the contingency language in the rules and communicate any extension publicly. Treat all participants consistently.

Create the eligible entry pool

Review entries against objective criteria from the official rules: dates, geography, age, entry limit, required method, employee or household exclusions, prohibited content, and other disclosed conditions. Keep a reason for every removal.

Review signals carefully. A shared IP address can represent a household, workplace, school, carrier network, or VPN. A fast submission may come from a repeat visitor. Signals identify records that deserve attention, and a documented organizer decision completes the review.

Use a scorecard for judged contests

A judged photo, video, essay, or creative contest uses published criteria and relative weights—for example, originality, relevance to the prompt, execution, and brand fit. Give judges the same scorecard and instructions.

Manage conflicts of interest and document how ties are resolved. If public voting contributes to the result, explain its weighting, how manipulated votes are handled, and how the voting format shapes the final decision.

Notify and verify the prospective winner

Use the contact channel and timeline published in the rules. The message should identify the campaign, explain the verification steps, state the response deadline, and repeat that no payment is required. Ask only for information necessary to establish eligibility and deliver the prize.

If the person misses the response deadline, declines, or is ineligible, follow the announced alternate process. A clean alternate draw comes from the remaining eligible pool and is documented like the original.

Announce and retain the record

Confirm the winner before a public announcement. Obtain consent where required and share no more personal information than necessary. Update the official contest page so participants can distinguish the final status from scam messages.

Retain the rules, entrant snapshot, eligibility decisions, draw audit, communications, and prize-delivery confirmation for the period required by your policies and applicable law. Then delete personal data when the legitimate retention period ends.
